Role Overview:
Reporting to the Head of Events, the Event Coordinator provides essential support in the planning, organization, and execution of events for TM Forum. With a keen eye for detail, exceptional communication skills, and efficient administrative capabilities, this role ensures that events run seamlessly and align with organizational objectives. Collaborating closely with all departments and stakeholders, the Event Coordinator contributes to the success of TM Forum’s events portfolio.
Responsibilities:
Award Program Management:
· Ownership of awards program, from planning to execution, ensuring all deadlines are met and deliverables are achieved.
· Coordinate with internal teams, external partners to facilitate the smooth operation of the awards process.
· Manage communications with award nominees, judges, and winners, ensuring a positive and engaging experience throughout.
Speaker Management support:
· Engage in email communications with speakers
· Maintain and update speaker profiles and event records
· Collate speaker assets and presentation materials
Social Activity Management:
· Manage attendee social activities throughout the events portfolio
· Conduct venue and supplier research to enhance the event experiences.
Support:
· Handle various administrative tasks relating to event planning, such as maintaining databases, preparing documentation.
· On-site support: provide on-site support during events, including setup, reg, attendee assistance, and coordination of logistics. Address any issues or concerns that arise and ensure that events run smoothly
· Budget tracking: assist in tracking event budgets, expenses, and payments. Prepare purchase orders, invoices, and expense reports as needed.
· Foster strong working relationships with colleagues across departments including sales, marketing, operations, content, and finance to ensure alignment, and collaboration within event planning and execution.
· Assist in evaluating customer feedback, identifying areas for improvement, and compiling post-event reports.
· Staying Informed: Keeping up to date with industry trends and best practices is essential to enhance the quality of event experiences we offer.
· Contribute to the development and implementation of strategies to enrich attendee engagement and satisfaction before, during and after events.
Experience and Requirements:
. Previous experience in event coordination, administration, or related roles preferred.
· Strong organizational skills and meticulous attention to detail
· Excellence communication and interpersonal skills
· Proficiency in Microsoft Office Suite and Event Management Software
· Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
· Flexibility to work evenings, weekends, and travel is required for event support.
· High motivation, drive, and ambition
· Ability to travel internationally.
